GENERAL OBJECTIVE

This position requires attention to detail, and ability to work effectively in changing and dynamic environment.
The purpose of the Logistics Assistant role is to act as operations and communications focal point to PU-AMI staff for both for the day-to-day operational needs and during any kind of emergencies. The Logistics Assistant will be responsible for the management of communications and staff movement monitoring, ensuring compliance with the PU-AMI Lebanon guidelines, as well as all safety and security policies, procedures and protocols.

RESPONSABILITIES AND TASKS

1. STAFF MOVEMENTS AND ACCOUNTABILITY OVERSIGHT AND SUPPORT TO ALL PU-AMI OFFICES IN LEBANON

  • Provide a watch on all PU-AMI Lebanon field locations by acting as an immediate point of contact for all staff;
  • Monitor, track, log, and report all movement of PU-AMI staff and vehicles.

2. INCIDENTS AND DATA MANAGEMENT

  • Monitor, log, and report on the security context via local and external sources within Lebanon;
  • Monitor the local and national news/media platforms, draft the daily media monitoring reports and share them with the SMT, log and disseminate daily security-related incident alerts, advisories, and updates when/if required, ensuring timely notification to Line Manager on change of context and any incidents/accidents in Lebanon that can impact PU-AMI activities or put its staff in danger.

3. ADMINISTRATIVE AND OPERATIONAL SUPPORT

  • Play an active role in the PU-AMI safety department by tracking all movements of the mission and reporting any unusual conditions;
  • A key player in PU-AMI Lebanon’s mission communication and staff accountability;
  • Utilize tracking equipment and systems to monitor the movement of personnel and vehicles;
  • Coordinate with field teams to ensure accurate tracking data and timely responses to deviations or incidents;
  • Maintain an accurate communications log, including message content, timestamps, and relevant details;
  • Provide technical support and training to the field staff on properly using communication devices;
  • Provide briefing to staff all staff on how and when to do the tracking;
  • Ensure the tracking of all PUI vehicles and maintain the log of violations linked to driving by PU-AMI staff;
  • Respond promptly to emergencies and relay critical information to appropriate stakeholders.

4. SUPPORT

  • Help with any task related to the activities/ or structure of the Mission when required by his/her supervisor in line with the JD.

PRIORITIES OF THE DEPARTMENT

  • Ensure safety and security related information is shared with all PU-AMI staff in timely manner;
  • Ensure all national and international movements are tracked and logged during working hours;
  • Provide information to management on context analysis.

QUALIFICATIONS

MANDATORY REQUIREMENTS

Language skills: Fluent in Arabic and English, (speaking/reading/writing).
Education Degree: University degree in Humanitarian Affairs/Political Sciences or a related field.
Work Experience: At least 1-year of professional experience in humanitarian access function. Experience in safety and security management is a key asset. Experience in logistics management is an asset but not compulsory.

Others:
– Additional technical training or certifications in IT and communication.
– Excellent communication skills, both verbal and written, with proficiency in English and Arabic;
– Ability to work effectively in high-pressure situations and adapt to changing priorities and circumstances.
– Demonstrated ability to work independently with minimal supervision and as part of a team
– Prior experience working in humanitarian or development contexts.
– Prior experience working with ICT and tracking tools.
